This pivotal role will be instrumental in supporting the executive board members across the group, ensuring seamless coordination and effective communication.

Role Overview: Executive Admin Assistant

As the Executive Admin Assistant at Master Group, you will play a crucial role in managing the complex schedules of our executive board members. Your responsibilities will include coordinating and scheduling meetings, preparing agendas, recording accurate minutes, and maintaining organized records. If you thrive in a dynamic environment, possess excellent communication skills, and are adept at managing multiple tasks simultaneously, this opportunity is tailor-made for you.

Key Responsibilities:

  1. Meeting Coordination: Schedule and coordinate meetings for executive board members, ensuring optimal use of their time.
  2. Calendar Management: Take charge of managing calendars, confirming availability for meetings and appointments, and communicating effectively with board members.
  3. Agenda Preparation: Collaborate with board members to prepare comprehensive meeting agendas and arrange suitable venues or virtual conference platforms.
  4. Meeting Attendance: Attend board meetings, record accurate minutes, and summarize discussions, decisions, and action items.
  5. Document Distribution: Distribute meeting minutes promptly, track action items, and ensure their approval. Follow up with board members to ensure completion of tasks.
  6. Record Keeping: Maintain organized records of meeting minutes, agendas, and related documents, ensuring confidentiality and security of sensitive information.
  7. Task Prioritization: Assist in prioritizing tasks and activities for board members, ensuring that critical tasks are addressed in a timely manner.

Qualifications and Experience:

  • Experience: A minimum of 3-5 years of relevant experience in a similar capacity, showcasing your ability to handle executive-level responsibilities.
  • Qualification: A degree in B. Com, M. Com, or MBA will provide a strong foundation for success in this role.
