Role Overview

The Admin Analyst – Travel Desk will be responsible for managing and executing end-to-end travel arrangements for employees and business executives. This includes travel bookings, visa formalities, hotel accommodations, car rentals, and vendor coordination—all while maintaining high standards of cost-efficiency and customer service.


Key Responsibilities

  • Handle comprehensive travel arrangements, including airline bookings, hotel reservations, car rentals, and event coordination.
  • Ensure visa processing and documentation are completed accurately and on time.
  • Negotiate and obtain quotations from approved vendors to secure the best possible rates.
  • Manage urgent or emergency travel changes and cancellations professionally.
  • Prepare and manage KCCI letters and other required documentation.
  • Address travel requests and support staff with inquiries related to trips, bookings, and formalities.
  • Maintain clear communication with the finance department to ensure timely vendor payments.
  • Monitor and improve the customer experience, focusing on accuracy, professionalism, and timely service.
  • Perform online fare comparisons and ensure selection of cost-effective travel options.
  • Process and submit travel invoices and follow up on pending approvals and disbursements.

Candidate Requirements

Education:

🎓 Bachelor’s Degree in Business Administration, Travel Management, or related field

Experience:

3 to 5 years of relevant experience in corporate travel management
✔ Experience in visa applications, ticket booking, vendor negotiation, and hotel coordination

Skills Required:

✅ Excellent communication and interpersonal skills
✅ Strong attention to detail with an error-free work ethic
✅ Proficiency in online booking platforms and vendor communication
